Terms & Conditions
1. Booking & Payments
Booking Confirmation
To confirm a trip reservation with Nplusone Cycling Tours, a deposit equivalent to 10% of the total trip price per person is required.
Once your booking is confirmed, you will receive an email with your booking details and an invoice specifying the total trip price, the deposit paid, the outstanding balance and the applicable payment deadlines.
All bookings are subject to availability and written confirmation by Nplusone Cycling Tours. We recommend waiting for written confirmation before making non-refundable travel arrangements.
Payment Schedule
Full payment is due 120 days before the trip departure date.
For bookings made less than 120 days before departure, full payment is due at the time of booking.
If a payment is overdue, Nplusone Cycling Tours will contact the customer to request payment and, where appropriate, provide an opportunity to resolve the outstanding balance. Failure to pay may result in cancellation of the booking, subject to applicable law and the terms of the reservation.
The deposit forms part of the total trip price and is not an additional charge. Its treatment in the event of cancellation is governed by the Cancellation Policy below.
2. Cancellation Policy
We understand that plans can change. Our cancellation policy aims to provide clear conditions for customers while taking into account the advance planning and commitments involved in organising our cycling trips.
All cancellation requests must be submitted in writing by the person who made the booking. The applicable cancellation period will be determined by the date on which Nplusone Cycling Tours receives the written request.
Customers may choose between the applicable refund or the alternative travel credit specified below. The two options cannot be combined.

Cancellation 30 days or less before departure

Refund percentages are calculated on the amounts actually paid at the time of cancellation. Travel credit is calculated on the total trip price.
This policy applies to voluntary cancellations initiated by the customer and is subject to any mandatory refund rights or other remedies under applicable law.
3. Travel Credit
Where a customer chooses travel credit instead of a refund under the Cancellation Policy, the following conditions apply:
-
Travel credit is valid for 24 months from the date of issue.
-
Travel credit cannot be exchanged for cash or converted into a refund at a later date, except where required by applicable law.
-
Travel credit may be transferred to another participant or used towards another Nplusone Cycling Tours trip, subject to availability.
-
If the new trip costs more than the available credit, the customer must pay the difference.
-
Any remaining balance where the new trip costs less will be handled in accordance with the conditions communicated when the credit is issued and applicable law.
-
Travel credit cannot be combined with other promotions unless expressly agreed in writing.
Travel credit is an alternative commercial option and does not replace any mandatory refund rights.
4. Private & Custom Tours
Private and custom tours are designed around the group's requirements, preferred dates, accommodation, routes, guides and other agreed services. These trips may involve advance commitments with accommodation providers, transport companies, guides and other suppliers.
Unless specific cancellation conditions have been agreed in writing before the booking is confirmed, the Cancellation Policy in Section 2 applies.
Any specific conditions affecting cancellation rights must be clearly communicated before the customer confirms the booking and must comply with applicable law.
Minimum Number of Participants
Certain trips require a minimum number of participants to operate.
If the minimum is not reached, Nplusone Cycling Tours may cancel or reschedule the trip in accordance with the booking terms and applicable law. Customers will be offered any refunds, alternative arrangements or other remedies to which they are entitled.
4. Cancellation by Nplusone Cycling Tours
If Nplusone Cycling Tours cancels a trip, customers will be informed as soon as reasonably possible.
Customers will be offered the remedies required by applicable law, which may include a refund of amounts paid or suitable alternative arrangements.
Where a trip is cancelled because the minimum number of participants has not been reached, applicable notice periods and refund obligations will be respected.
Travel credit will not replace a legally required refund unless its use is lawful and the customer has validly agreed to it.
6. Itinerary, Accomodation & Services
Cycling trips may be affected by weather conditions, road closures, access restrictions, safety concerns, supplier availability and other operational circumstances.
Nplusone Cycling Tours may make reasonable changes to routes, schedules, accommodation or other arrangements when necessary for safety or operational reasons.
Accommodation, transport, meals, guides and other services may be provided by independent third-party suppliers. Nplusone Cycling Tours selects its suppliers with care and will seek to ensure that the services correspond to the description and standard agreed in the booking.
Where a supplier or service must be changed, we will seek to provide a suitable alternative of an equivalent standard where reasonably possible.
If a change materially affects the contracted services, customers will be informed and offered any remedies required by applicable law.
7. Participant Responsabilities & Safety
By booking a cycling trip, each participant acknowledges that cycling involves inherent risks, including road traffic, changing weather, challenging terrain, mechanical failures and physical exertion.
Participants are responsible for ensuring that they:
-
Are in suitable physical condition for the activity and route selected.
-
Have the technical ability and experience reasonably required for the trip.
-
Use appropriate equipment and protective gear.
-
Follow the instructions of guides and trip staff, particularly those relating to safety.
-
Comply with local traffic laws, road regulations and applicable rules.
-
Respect other participants, local communities, accommodation providers and the natural environment.
Participants must inform the guide or trip team promptly of any issue that may affect their safety or the safety of others.
Nplusone Cycling Tours may modify or suspend an activity where reasonably necessary for safety reasons. Any participant whose conduct creates a serious safety risk or materially disrupts the trip may be required to stop an activity or leave it, where reasonably necessary and permitted by law.
Participants are responsible for their personal belongings and equipment.
Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation is prohibited by law.
8. Travel Insurance
Travel insurance is not included in the trip price unless expressly stated in the booking confirmation.
Participants are strongly advised to arrange appropriate insurance covering, where relevant:
-
Medical treatment and emergency assistance.
-
Cycling accidents and personal injury.
-
Emergency evacuation and repatriation.
-
Trip cancellation and interruption.
-
Personal belongings and equipment.
Customers should verify that their policy covers the specific cycling activities, destinations and level of riding involved in their trip.
Where insurance is mandatory for a particular trip or activity, this requirement will be communicated before booking or participation.
9. Booking Changes & Special Requests
Requests to transfer a booking to another participant must be submitted in writing and should be made at least 14 days before departure wherever reasonably practicable.
Transfers are subject to availability, supplier requirements, the replacement participant meeting the trip requirements and any reasonable additional costs. Any transfer rights provided by applicable law will be respected.
Special requests, including dietary requirements, room preferences, equipment needs or other individual arrangements, must be communicated before the booking is confirmed whenever possible.
Special requests are subject to availability and are only guaranteed where expressly confirmed in writing by Nplusone Cycling Tours.
Customers who require information about the suitability of a trip for their particular needs should contact us before booking.
10. Complaints & Claims
If a problem occurs during a trip, customers should inform the guide or Nplusone Cycling Tours team as soon as reasonably possible, giving us an opportunity to investigate and address the issue.
If the matter cannot be resolved during the trip, a formal complaint may be submitted in writing using the contact details provided in the booking confirmation or on our website.
Complaints should include the booking reference, a description of the issue and any relevant supporting information.
Nothing in this section limits any statutory complaint period, legal remedy or consumer right.
11. Privacy & Photography
Data Protection
Personal data is processed for the purposes of managing bookings, delivering the contracted services, communicating with customers and fulfilling applicable legal obligations.
Where necessary, relevant information may be shared with accommodation providers, transport companies, guides and other suppliers involved in delivering the trip.
Personal data will be handled in accordance with applicable data protection legislation and the Nplusone Cycling Tours Privacy Policy.
Customers may exercise their applicable data protection rights using the contact details provided in the Privacy Policy.
Photography & Media
Photographs or videos may be taken during Nplusone Cycling Tours trips for personal or promotional purposes.
The use of identifiable images for marketing, advertising or other promotional activities will be handled in accordance with applicable data protection and image-rights requirements.
Customers who do not wish to appear in promotional materials should inform Nplusone Cycling Tours in advance. Where consent is required, it will be obtained in accordance with applicable law.
Refusing consent for promotional photography will not affect a customer's participation in a trip unless photography is an expressly agreed part of the service.
12. Legal Terms & Contact
These Terms & Conditions and all bookings are subject to applicable law. Nothing in these terms limits any mandatory consumer rights or legal protections.
The booking confirmation, invoice, trip description, itinerary and any additional conditions agreed in writing form part of the booking agreement.
These Terms & Conditions may be updated from time to time. The version provided at the time of booking will apply to confirmed bookings, subject to applicable law.
